Festival sanitation isn’t the same as event sanitation
A wedding caterer can plan around 200 guests with a luxury trailer. A festival operations director is planning around 25,000 guests, three days, alcohol service, multiple stages, ADA compliance, permit conditions, and the very real risk of a porta potty line that becomes a viral TikTok. The math, the logistics, and the failure modes are all different.
We dispatch festival fleets year-round — music weekends in Austin, Nashville, and Coachella-type desert events; county fairs in the Midwest; coastal marathons; multi-day food and wine festivals. The patterns repeat. This page documents how we plan, price, and service them.
Capacity table: how many units does your festival need?
The default ratio is 1 standard unit per 100 attendees for a dry, 8-hour event — or 1 unit per 50 attendees when alcohol is served. Multi-day festivals scale by the peak-attendance day, not the multi-day total.
| Peak attendance | Dry event | Alcohol service | ADA units (5%) | Hand wash |
|---|---|---|---|---|
| 1,000 | 10 std | 20 std | 1–2 | 2–3 |
| 5,000 | 50 std | 100 std | 5 | 10–15 |
| 10,000 | 100 std | 200 std | 10 | 20–25 |
| 25,000 | 250 std | 500 std | 25 | 50 |
| 50,000 | 500 std | 1,000 std | 50 | 100 |
| 100,000 | 1,000 std | 2,000 std | 100 | 200 |
These are minimums. Add 10–20% for camping festivals (24-hour use), heat events (Phoenix, Las Vegas, Coachella), or events with extended bar hours. Subtract 10–15% for shorter sets (4-hour concerts).
Where to place units on your festival site
Placement is what separates a smooth festival from a viral porta-potty line. Three rules from our dispatch leads:
- 1.Clusters of 8–12 units, not single rows. Clusters spread the lines and let you dedicate one cluster per zone (main stage, second stage, food court, camping).
- 2.One ADA unit at every cluster, not concentrated in one location. Most permit offices will require this anyway, and it dramatically improves access.
- 3.Hand wash stations at food vendors and bars — not at the porta potty cluster. Guests need to wash hands when food/drink is in their hand, not after they’ve walked back to the queue.
- 4.200–300 feet from any stage. Close enough to be obvious; far enough that pump-truck servicing isn’t audible during sets.
- 5.Pump-truck access path wide enough for a 30-foot truck on hard ground. Soft soil after rain becomes a serviceability problem fast — we’ll review your venue map before quoting.
Multi-day overnight servicing
For events that run multiple days, we run an overnight service window — typically 2:00 AM to 6:00 AM. Each unit gets:
- Waste tank pumped to a residual
- Bowl washed and disinfected
- Paper and seat-cover dispensers refilled
- Sanitizer dispenser refilled
- Deodorizer puck replaced
- Door, latch, and lock checked
- Floor mat hosed
For festivals over 25,000 attendees we add a mid-day refresh window (typically 2–4 PM during a less-attended set) at the highest-traffic clusters. Hand wash stations get water-tank refills on a separate 4–6 hour cycle.
Pricing for festival rentals
Festival pricing is calculated from unit-days plus servicing, not a simple day rate. A 3-day festival with 200 standard units is 600 unit-days, plus 200 overnight services per night, plus 200 ADA-and-hand-wash bundles. Volume discounts kick in at 50, 100, and 250 unit-days.
| Tier | Per-unit-day | Includes |
|---|---|---|
| 10–49 unit-days | $60–$80 | Delivery, daily service, pickup |
| 50–249 unit-days | $50–$70 | + overnight servicing window |
| 250–999 unit-days | $42–$60 | + pre-staged pump truck on site |
| 1,000+ unit-days | Custom — call | Dedicated ops lead, pre-event walkthrough |
ADA units run 1.5× standard rate. Hand wash stations $35–$60/unit-day. Distance-to-depot uplifts may apply for remote venues.
Permits and compliance
Most municipalities require sanitation documentation as part of the festival permit. We provide:
- Total unit count + ADA-unit count tied to your projected attendance
- Servicing schedule and waste-disposal plan
- Certificate of Insurance ($2M general liability) listing your event entity
- Driver licensing and OSHA-compliance certifications on request
If your permit office needs additional language, our ops team has worked with most major US municipal permit offices and can produce city-specific documentation packages.
Pair festival porta potties with these
- Luxury restroom trailers for VIP / press / artist hospitality areas. Climate-controlled, flushing toilets — the difference between a press-room complaint and a press-room compliment.
- ADA-compliant units at every cluster. Required by most permit offices and a real accessibility issue, not a checkbox.
- Hand wash stations next to food vendors and bars. Health-department permits often require these explicitly.
- Septic pumping & holding tanks for camping sections of multi-day events.
